STALL HOLDERS AND SUPPLIERS

Applications are now open for 2024!

The Henley on Todd Regatta is now looking to engage Stall Holders for the 2024 event.

Note the standard sizes for the Stalls are 3x3m and 6x3m. When applying, please ensure you provide your layout and accurate dimensions of your setup.

Limited power is available so please ensure you have details of your actual power requirements to assist in the planning process.

BACKGROUND

The iconic Henley on Todd Regatta is back to celebrate its 62nd year. This event is a fun, quirky and eclectic ‘boat’ race held each year on the dry, sandy bed of the Todd River in Alice Springs, Australia – It’s the only dry river boating Regatta in the world! We are seeking a variety of food stalls for the 2024 Henley on Todd Regatta (HoT) to facilitate food and beverage service during the event. Please read thoroughly to ensure your full understanding of our requirements - terms and conditions apply.


 

FEE

HoT will charge a fee for all stalls for the duration of the event. Please refer to the fee list on the application form.

Please note, payment is required upon notification of successful application to secure our site. Stall holder site fees include:

● Site fee

● Access to site power – to the specifications provided in this application

● A maximum of 4 x supplier passes for stall holder staff

o Any additional passes may need to be purchased by a stallholder, or sufficient evidence provided that additional staff is essential to run the stall at capacity.

● Roving security coverage, and overnight security coverage on 16 August 2024.


 

APPLICATIONS

Applications close COB 26 July 2024. You will be notified of the progression of your application by 05 August 2024. Please complete the application form and submit with attachments to stalls@henleyontodd.com.au


 

STALL ALLOCATION

Allocation will be at the discretion of the HoT Event Manager & Stalls Coordinator.


REQUIREMENTS

● Completion of Stalls Application Form (page 3) and provision of supporting documents;

● Acceptance of all conditions in the Stall Holder Agreement;

● Have EFTPOS facilities;

● Hold Public Liability Insurance to the value of at least $20 million;

● Hold Worker’s Compensation Insurance (if required by law);

● Hold a valid Department of Health Food Business Registration Certificate;

● Be committed to food safety, and abide by all stallholder requirements as dictated by the

NT Department of Health.

 

MERCHANDISE

Operators may sell only the type of goods indicated on the application form or as agreed with the

HoT Stalls Coordinator.

 

CANCELLATION

Stallholders who wish to cancel should contact the Stall Coordinator by midday, 10 days prior to the event to allow time to organise a replacement. Cancellation must be made in writing to the Stalls Coordinator via stalls@henleyontodd.com.au. Cancellation after COB 7 August 2024 will result in 100% forfeiture of site fee.

 

TRADING

HoT will not accept responsibility for loss or lack of income generated on the day or if any pre-held expectations have not been met. Trading times are 11:30am – 3.00pm, and stalls must be operational throughout the entire period. 

 

BUMP IN & OUT

● Stalls are required to be set up on 16 August 2024. An inspection by the NT Department of Health will occur on this day - timings will be discussed with successful applicants.

● Pack down may not commence until after the Battle Boat Spectacular - approx. 3.00pm.

● Stallholders will not be permitted to bring vehicles on to the site until after all event attendees have departed

the site, and only upon direction of the Event or Site Manager.

● Stallholders are to remove all rubbish and greywater from the site.
